Device Data Handling & Sanitization Policy

Wulz-Ferguson LLC, d/b/a Fix My Oculus Effective Date: August 6, 2026 · Version 1.0

This policy governs how devices in our custody are received, tracked, handled, repaired, and returned, and how any user data stored on those devices is protected. It applies to all consumer and enterprise devices we service and supplements our website Privacy Policy (https://www.fixmyoculus.com/pages/legal#privacy), which governs data collected through fixmyoculus.com.

1. Chain of Custody

Every device is logged by serial number at intake. The receiving agent scans the serial into the device's service ticket, and each serial is checked against our complete device history to prevent unit mix-ups and fraud. From that point forward the ticket records every stage the device passes through: Received, Diagnosed, Repair Queue, Awaiting Parts, Testing, Invoiced, and Shipped. The ticket permanently records the components replaced, the technician who performed the work, and the testing performed. Inbound and outbound shipments are tracked in real time through carrier webhooks, so a device's physical location is known from the customer's door to ours and back. Devices are stored in a staged warehouse area separated from shipping traffic, and repair work occurs only in the technical shop at assigned ESD-controlled benches.

2. User Data on Devices

Devices frequently arrive signed in to user accounts and containing personal content. Our standing rules:

We access device functions only as required to diagnose and verify repairs. Functional testing is limited to boot, display and optical inspection, passthrough, boundary establishment, and controller tracking. We do not browse, open, copy, extract, or retain any user files, messages, media, browsing history, or application content, and we have no business purpose for doing so.

We never transfer data off a customer device. No device contents are copied to our systems, removable media, or any other device.

Consumer devices are returned in the state they arrived: accounts, settings, and content are left untouched unless you ask otherwise. Account sign-out or factory reset before return shipment is available on request for any repair, at no charge.

Enterprise and fleet devices are factory reset before repair work begins as our default practice, unless the client's service agreement or written instructions direct otherwise. Written sanitization attestation is available for enterprise batches, certifying by serial number that each device was reset.

3. Media and Content Production

Fix My Oculus produces public repair content on YouTube and other platforms. Consumer devices may appear in repair content on a strictly anonymous basis: no names, serial numbers, account information, on-screen personal data, shipping details, or any other customer-identifying information are ever shown or disclosed. A customer is identified in content only at their own express request. Any consumer customer may opt out of content appearance entirely by requesting it at intake or any time before publication. Enterprise and fleet devices are never filmed or photographed for published content, without exception.

4. Physical Security

Our operation runs in a dedicated 2,800 square foot commercial facility with access limited to staff. The technical shop is physically separated from shipping, receiving, and warehouse traffic. Devices awaiting repair, in repair, and awaiting return are stored inside the facility at all times; devices do not leave the premises during service. Lithium battery handling follows fire-safe procedures including dedicated sand containment. The facility is protected by a monitored security alarm, with camera coverage of all shared spaces through which devices move. Customers do not enter the workshop area; building access, including after hours, is limited to staff.

5. Hygiene and Sanitization

Every device is surface-sanitized before return shipment, including facial interfaces and controllers. For staff safety we decline devices contaminated with human or animal fluids, and customers confirm their device is free of such materials before we issue a shipping label.

6. Liability and Insurance

Devices in our custody are insured. Wulz-Ferguson LLC carries a commercial business owner's policy through The Hartford that includes commercial general liability coverage of $1,000,000 per occurrence and $2,000,000 aggregate, including products and completed operations, and business personal property coverage at replacement cost that expressly includes personal property of others in our care, custody, or control. Additional insured status is available by contract under a blanket endorsement, and certificates of insurance are available to enterprise partners on request.

7. Incident Response

If a device in our custody is lost, damaged beyond the repair scope, or if we have reason to believe user data was accessed or exposed contrary to this policy, we notify the affected customer promptly, and for enterprise clients within the notification window defined in the service agreement, with a written account of what occurred and the corrective action taken.

8. Records and Retention

We retain repair records (serial number, service history, components replaced, technician, testing performed, and customer communications) as business records supporting our repair warranty and quality program. We retain no data from the devices themselves.

9. Scope Notes for Enterprise Partners

This policy reflects our current commercial practice. We do not currently hold SOC 2, R2, or e-Stewards certifications, and we do not currently service engagements requiring TAA compliance or NIST 800-171/CMMC alignment; public sector requirements are addressed per engagement. Questions and certificate requests: info@fixmyoculus.com, Attn: Privacy Officer, 6028 West Stoney Brook Road, Suite 5, Rogers, AR 72758.
